2. Job Summary:
The Operation Support is responsible for efficiently planning and organizing his/her monthly activities, ensuring timely execution, and promoting a positive work environment. He/she is responsible for ensuring the efficient operation of the organization by providing administrative, logistics, procurement, and HR support. This role ensures smooth day-to-day functions by coordinating office management, travel arrangements, and operational processes to support program delivery.
3. Duties and Responsibilities
3.1.Planning
3.1.1. Personal Planning
· Develop yearly, quarterly and monthly activity plans and upload them on time.
· Prepare a monthly activity report in the last week of every month before salary is effected.
3.1.2. Planning and Designing of Activities
· Assist in planning operational activities, including procurement, logistics, and HR support.
· Develop schedules for office administration, travel, and events.
3.2. Implementation
3.2.1. Administrative Support
- Coordinate meetings and distribute relevant materials.
- Provide general office support, including handling inquiries and correspondence and office memos.
3.2.2. Ticketing & Travel Arrangements
- Arrange domestic and international travel for staff, including flight bookings, accommodation, and transport.
- Maintain travel records and itineraries for all official trips.
3.2.3. Logistics Support
- Organize logistics for events, workshops, and field visits.
- Ensure the timely delivery of supplies, equipment, and materials to project sites.
- Manage office assets and oversee office maintenance.
3.2.4. Procurement Support
- Support procurement processes by preparing purchase requests and obtaining quotations.
- Maintain vendor and supplier records.
- Ensure procurement compliance with PAPDA’s policies and donor regulations.
- Track office supply and inventory levels.
3.2.5. Problem Solving
- Identify operational challenges and develop solutions to address them.
- Take corrective actions when issues or delays arise.
- Anticipate potential operational problems and implement preventive measures.
3.2.6. ERP Implementation
· Actively participate in the training, implementation and integration of the ERP system into daily operations.
3.2.7. Capacity Building
· Actively engage in Self-capacity-building initiatives.
· Pursue pre-requisite certifications mandated by the organization to support ongoing professional development and organizational transformation.
3.2.8. Other Responsibilities
· Participate in the procurement committee within PAPDA.
· Any other business assigned by the Operation Coordinator.
Qualifications
· Bachelor’s degree in Business Administration, Management, Logistics, or a related field.
· Experience: At least 3-5 years of experience in operational support roles, preferably in an NGO or similar setting.
· Requirements: Strong organizational and multitasking skills, Basic understanding of HR, Procurement, and Logistics functions, Excellent communication and teamwork abilities and Proficiency in standard office software and tools.
